Five Tips to Improve Your Productivity on a new year

Year is a just year, basically is just a calendar that show you a moment to reset and to improve yourself. It just like iteration on a software. And the software is You. If the software is a lot of bug, so you must fix it. If the software has few bugs, it is a good time to improve the performance add the feature. And many more! Today, we will discuss how to improve your productivity in 2021. Let's get started! #1 Setting Up your Focus Time. Focus mode is a time frame when you have a set of schedules to work your stuff. Just imagine, if you have a lot of meeting do you have a time to do your stuff. Microsoft 365 has a good feature namely MyAnalytics. It helps you to understand your habit. MyAnalytics help you to understand and put the focus time in the schedule. Try to allocate for two hours for your focus mode. Focus mode means you plan, do, check, act what need to be done. It is just like sprint within a time frame. Allocate the focus mode in the beginning of the day. You still have a power and a gut to do a focus. You can have more than one calendar and combine it on Your Outlook. For example, I have three calendars: academic calendar, working calendar, and personal calendar. Create you daily appointment before the day (at least one day before) If the appointment is collaboration time, invite your peers. Put the essential peers in to, and Put the others one in optional Label your calendar with categories such as Deadline, Important, Need Preparation, etc. Combine multiple calendars on one single view Be discipline do your daily appointment, give a time slot with minimum 30 minutes #3 The Game of To Do After creating a calendar, you can install Microsoft To Do to manage your tasks. To Do is your milestone, Calendar is your slot when you do the job. Create a list of your task category Create your task at least one day before so you have a time to plan and prioritize it Put your task into My Day feature in Microsoft To Do Reschedule your task when you do not have a time to finish it. Learn to measure your productivity by understanding how many task that can be solved You can learn to do here #4 Flag your important email Every time you find an email that need to be responded you have two options: Answer it right away. This is good way when the email needs a shirt response. Schedule it in your focus time. You can flag it and the flag can be read by the To Do as a task. #5 Ask Your Team to Assign you a task With Planner, you can request your friend to assign you a collaboration task. Request them to assign it before the deadline day, so you have a time to prioritize. Suppose you want to become productive in 2021. You want to make yourself focus on your job, have more time with family, or enjoy the precious time with your loved one. This non-technical article will give you steps to get started and well planned in your work. We will discuss Microsoft To Do. You can use To Do at Welcome to Microsoft To Do. It was available on Web, Windows, iOS, and Android. Microsoft To Do Positioning Microsoft has several software related to tasks and plans. There are: Outlook Tasks. It is stored beneath on your Email / Outlook / Exchange Online System. It builds for your personal use. Office Planner. It is a new way to manage tasks for your works. It builds for your work use. Microsoft To Do. It is a hub that connects between works and personal. It builds from Wunderlist, the well-known task management in the past. Download Microsoft To Do on Your Windows and Your Smartphone. Activate your integration with Planner and Email Flags. Planner lets us you connect to company Planner that have tasks which is assigned to you. Email Flags let's To Do create a task based on your Follow Up email. My recommendation is to check the Planner but the turn of the Flagged Email. You can do that on Your Settings. Activate and deactivate Smart Lists. Smart Lists will guide you to manage your task better. Important – a task that has important flag Planned – a task that has a deadline Completed – a task that already completed All – Show all task Assigned to you – Tasks that assigned through Planner or To Do.  You can create List to categorize your Task. List is just like bucket that can store and organize the tasks that have similar purposes. For example, your hobby, your community, or your learning plan. My recommendation is to design It carefully by thinking it loud. After creating the list, we can create a task. Microsoft To Do has a great approach by using My Day feature. My Day Feature basically organize what you need to do on a day. It is based on Task deadline and your ad-hoc task. It provides you a suggestion what task that you need to do. You just need to click the '+' sign to add and lamp icon to show the suggestion. You can sort the task based on your importance, due date, alphabet, and creation date. You can sort by clicking the '…' icon. You can create task by clicking the Add Task bar. On a task you will have plenty things that you can put such as Task Name Sub Tasks Reminder Due Date Repeat Assign To (if you want to assign to your friend) Add File (up to 25 MB / task) Add Note ( a good idea to put link / brief) After creating the task, you can put it on a list that we already created before.
